ctcLink Functional Analyst (Finance)

Position Overview

The SBCTC Enterprise Resource Planning (ERP) Project, called ctcLink, is a multi-phase, multi-year project that will replace the full administrative software suite for the 34 community and technical colleges and the SBCTC agency offices. Deployment of the software to these groups has been broken into a small group of pilot schools (called “FirstLink”) and several subsequent “Deployment Groups” of schools to be implemented together. The project is currently in process, and the Finance Functional Analyst will be responsible for the delivery of the processes and functionality of assigned PeopleSoft modules and functionality throughout the remainder of the overall implementation schedule.

The Finance Functional Analyst is a utility player, serving many different stakeholders (including other ctcLink project groups) as a system expert in various finance processes as they relate to modules in the PeopleSoft Finance application as well as how they interact/integrate with modules in PeopleSoft Human Capital Management (HCM) and PeopleSoft Campus Solutions (CS). This position must be able to work independently and collaborate with diverse groups to cultivate and provide this knowledge of the system as well as knowledge of how the Washington community and technical college environment operates. This position will participate in many different deployment activities related to the PeopleSoft Finance application and provide leadership to the Subject Matter Expert (SME) team members from the colleges during all phases of the design and configuration process throughout the life of the implementation project.

Primary Responsibilities

  • Attends and participates in scheduled Functional Team and other project meetings
  • Communicates timely status updates on assigned work and on-going activities as requested by team, pillar, and/or project leadership
  • Leads and participates in one-on-one, small group, and large group activities with internal and external stakeholder groups
  • Develops internally and externally facing documentation that aligns with prescribed formatting and content requirements
  • Develops functional specifications for recommended business processes, system configuration values/frameworks, reports, and system customizations
  • Assists in the development of technical specifications for recommended business processes, system configuration values/frameworks, reports, and system customizations
  • Supports system design, configuration, conversion, validation, testing, and training activities
  • Performs business process analysis and business process redesign activities
  • Works with subject matter experts and other stakeholder groups to identify and clarify business requirements
  • Provides support and knowledge transfer to teams and individuals within and associated with the ctcLink project
  • Works with business process stakeholders to ensure that solution design and scope remains consistent with functional expectations and priorities
  • Provides input to the Organizational Change Management (OCM) Team, Training Team and others to update business processes and documentation
  • Assists with college staff adoption and use of the PeopleSoft application, with special focus on aiding the college in understanding the key business processes that are executed within one or more assigned PeopleSoft modules or sets of functionality
  • Assists in the development of end-user training materials, and as needed, deliver informal training to college and project team members
  • Provides input in the development of test procedures and materials, such as test scripts
  • Utilizes desktop automation software, including Microsoft Word, Excel, PowerPoint, Outlook, and Visio.

 

Knowledge, Skills, & Abilities

  • Exceptional interpersonal communications skills.
  • Ability to maintain effective and professional working relationships with a diverse group of co-workers, specialty consultants, college/agency stakeholders, and the public.
  • Strong working knowledge of Washington community and technical college business practices and policies.
  • Desktop automation skills including effective use of e-mail, MS Word, MS Project, Visio, Excel spreadsheets and the ability to use tools in conjunction with databases.
  • Proficient and adept at using higher level formulas within Excel to manage large data volumes in spreadsheet form, especially using VLOOKUP.
  • Proven ability to manage multiple competing priorities while providing leadership and direction to college teams throughout the implementation process.
  • Ability to provide leadership and direction to college/agency participants in project activities.
  • Working knowledge of ERP or Automated Systems for higher education, preferably PeopleSoft.

Minimum Qualifications

  • 3+ years of related experience in a Higher Education setting with one or more of the following functional areas:
    • Accounts Payable
    • Accounts Receivable
    • Asset Management
    • Billing
    • Budget Development
    • Contract Management
    • General Accounting
    • Grant Management
    • Purchasing
    • Travel and Expense Management
    • Treasury Services

OR

  • 1+ years of related experience working with PeopleSoft Finance version 8.9 or greater in a Higher Education setting in one or more of the following PeopleSoft modules:
    • Accounts Payable
    • Accounts Receivable
    • Asset Management
    • Billing
    • Cash Management
    • Commitment Control/Budgeting
    • Contracts
    • General Ledger
    • Grants
    • Project Costing
    • Purchasing
    • Travel & Expenses

 

Preferred Qualifications

  • Related experience working with PeopleSoft Finance version 9.2 in a Higher Education setting
  • Related experience working with PeopleSoft Finance version 9.2 utilizing Fluid look/feel, features, and functionality
  • Related experience working with PeopleSoft Human Capital Management in a Higher Education setting
  • Related experience working with PeopleSoft Campus Solutions Student Financials
  • Functional-Technical experience in a PeopleSoft environment, such as familiarity with App Designer, PeopleCode, SQL, and/or CEMLI development

This is a full-time, exempt position. The annual compensation for this position is listed above.
