Understanding and Finding Your Data

The documents in this section provide access to tools you can use to define and locate database information (such as specific fields and tables) for reporting purposes. Review the descriptive paragraphs each link to determine which information and tools best suit your needs.

Understanding Data Structure
The basics for understanding the HP Image database general structure and terminology.
 

DD0002 Data Dictionary Report
Summary: Alphabetical listing of all of the fields contained in the HP Image database.
Features: Defines each field including the short field name, long field name, a descriptive definition, any valid coding information, and data type and size information.
Limits: Does not provide information such as the data entry screen or table where the field resides. The dictionary is specific to the Turbo Image data.
Uses:  Understanding what each data field means. Helpful when defining valid coding values for a particular field.

Data Dictionary
Summary: Same information as noted above for the DD0002 Data Dictionary Report, but split into two tables.
Features: The tblDataDictionary table has the field names, definitions, and coding information. The tblDataDictionaryProps table has field details such as length, data type, etc. Having the
Uses: Data Dictionary in an Access database allows you to create custom query look-ups and reports.

Database Crosswalk  
Using the Database Crosswalk 
Summary: Describes how to use the database, search for specific fields and locate their associated tables and databases.
Features: Has a front-end switchboard that makes searching user-friendly. Reverse searching is also available; select a database table and reflect all of the associated fields.
Uses: Particularly helpful for report development when you need to determine a specific table location for a field.

Financial Aid Database – Safer to Regent Crosswalk 
Summary: Describes and links to the Financial Aid SQL Database Design spreadsheet.
Features: Financial Aid SQL Database has filterable database, table, and field information.
Uses: Used for report development when you need to determine a specific table location for a field.
 
Executive Overview of SBCTC-ITD Applications
Summary: A high-level overview of FMS, FAS, PPMS, and SMS and their respective modules and associated databases and tables. Links in the presentation give more in-depth database information, including schematic drawings if available.
Uses: Valuable tool for understanding the basics of each application area and its associated modules. A resource for report development when looking for table and field locations associated with specific application modules.
 
Data Models
Summary: A web page with links to Visio data model diagrams available for most of the HP Image databases.
Features: The diagrams provide a more visual picture of the database structure, including associated tables and fields.
Uses: The diagrams are a useful tool for report development when trying to understand the association of one table (and its fields) to another table.
Notes:  Free Visio viewer available at downloading files help link.

SMS Executive Technical Overview
Summary: Comprehensive overview of the Student Management System, its modules, and each module's functions.
Features: Crosswalks to show the relationship between SMS application screens and their associated databases and tables.
Uses: Useful for determining which tables to select for report development.
Notes: Slide 10 gives an example of the screen-to-table crosswalk. This tool is valuable to report development by providing a module to screen-to-table relationship.
