Past session materials for monthly SBCTC+ConexED Office Hours.

2026

Session Summary
During this session, we focused on several important implementation and coordination topics, including:

  • SBCTC implementation updates, including the status of data migration, upcoming single sign-on (SSO) availability, and the formation of a ConexED–ctcLink integration workgroup to align on shared data elements and priorities.
  • ConexED updates on upcoming steering committees, partner learning opportunities, and ways colleges can help shape product development through structured feedback.
  • Implementation support and training, including expectations for hands-on training, optional practice sessions, and a train-the-trainer model.
  • Standardization and flexibility, clarifying which elements will be aligned statewide (e.g., reporting and integration data elements) and where colleges will retain local decision-making around rollout and sequencing.
  • Student experience and soft launch approaches, including how colleges can intentionally phase implementation through messaging, link placement, and training cadence.

Session Summary
During this session, we focused on several implementation updates and coordination efforts supporting early adopter colleges as ConexED implementation continues across the system.

SBCTC–ConexED workgroup updates, including the development of guiding principles and a phased approach for exploring integration between ConexED and ctcLink. The workgroup has begun reviewing advising-related data elements and will gather feedback from campus stakeholders and subject matter experts to inform potential integration priorities.

ConexED Implementation Updates from Early Adopter Colleges
Early adopter colleges shared implementation updates, noting that most institutions are currently in early configuration, leadership training, and planning stages, with timelines varying based on institutional readiness, staffing, and local priorities.

Highlights included:

  • Bates Technical College – Currently the furthest along in implementation. The team has completed leadership training, begun customizing user groups and permissions, and is starting work on recruitment and CRM components.
  • Bellingham Technical College – Completed initial leadership training and received an overview of ConexED’s SCRM tools. The college is beginning to explore how these tools will support outreach and engagement.
  • Peninsula College – Completed leadership training and early platform orientation, with teams beginning to explore potential use cases and internal rollout planning.
  • Centralia College – Preparing to begin leadership training and initial platform onboarding in the coming weeks.
  • Spokane District (Spokane CC & Spokane Falls) – The district is coordinating implementation across both colleges and is currently developing a shared reason code library while progressing through training stages.
    • Spokane Falls is preparing for department director and group manager training.
    • Spokane Community College is currently focusing early implementation around advising functions.
  • Implementation Resources – ConexED will continue sharing curated release documentation and implementation resources to help colleges stay informed about platform updates and development.
  • ctcLink Functionality and Access – All colleges have access to the same core features within ctcLink, though institutions may configure and use these tools differently depending on their advising models and internal processes.

Office Hours Update
Moving forward, ConexED Office Hours will be open to all colleges across the system, not just early adopter institutions as originally planned. The goal is to create a broader space for colleges to ask questions, share progress, and learn from one another as ConexED implementation continues statewide.

Session Summary
This session focused on implementation progress, data integration planning, and ongoing support as ConexED expands across the system.

SBCTC–ConexED Workgroup Updates
The workgroup continues to advance integration planning through:

  • Guiding principles and phased integration approach
  • Review of core advising data elements
  • Preparation for loading and validating data in test environments

Integration is technically complete, with current efforts focused on data validation, standardization, and aligning advisor-student assignment data.
Implementation Updates from Colleges

Most colleges are currently in:

  • Leadership training
  • Early configuration
  • Planning stages

Some colleges are beginning end-user training. Timelines vary based on institutional readiness, staffing, and local priorities.

Key Implementation Considerations

  • IT involvement: Minimal at this stage
  • Duplicate records: Managed locally using ConexED tools
  • Student matching: Handled through existing integration
  • Advising structures: Advising committees highlighted as a strong practice for managing assignments

Support & Next Steps

  • Dedicated ConexED account managers and support portal available
  • SBCTC continues to support data alignment and coordination
  • Colleges will validate data and gather internal feedback in the coming weeks

Office Hours Update

Office Hours are now open to all colleges statewide.
These sessions provide a space to ask questions, share updates, and learn from peers across the system.
