New! Employee Onboarding & Offboarding (EO&O) Community of Practice
PAW is starting an online community of practice for Employee Onboarding & Offboarding (EO&O) subject matter experts (SMEs). The plan is to include all employees whose names were submitted last year as SMEs when the EO&O Process Alignment Task Force group first launched.
The Travel & Expense (T&E) Teams Chat created during the related PAW task force effort has since become a vibrant community of practice to connect with fellow T&E SME peers, so we want to do the same for EO&O!
Interested? What you need to do
Please review and update the EO&O Taskforce Contact List of SMEs roster to ensure the appropriate employees are added to the new EO&O Community of Practice Teams Chat.
The initial deadline is 5 p.m. on Wednesday, Nov. 4, but folks can continue to be added at any time after that.
EO&O Recommendations to Date
It’s easy to lose track of the many recommendations from the task force! For your convenience, they are compiled below and have also been added to the Employee Onboarding/Offboarding PAW QRG for future reference.
HR-Specific Recommendations 07/08/2026
- EO&O Recommendations HR 070826
- HCM A.1.1 HR Notification Composer
- HCM B.6.1 Uniform Work Schedules
- HCM B.8.2 Compensatory Plan Automation
Security-Specific Recommendations 07/22/2026
Cross-Functional Recommendations 08/26/2026
Training Recommendations 09/09/2026
Email Recommendations 10/28/2026
What is Process Alignment?
Process alignment involves creating common, agreed-upon business processes that align with our system's goals and strategies. It ensures that ctcLink system processes are consistent and efficient.

New to ctcLink or Ready to Upskill? Make a ctcLink Training Plan
The ctcLink Customer Support Training team developed tools to assist colleges with employee onboarding in response to recommendations and requests.
Although learning a new software system can be challenging, these documents provide new staff with the information needed to locate, understand, and participate in the various training and learning opportunities available from the Washington State Board for Community and Technical Colleges (SBCTC).
- The Staff Training Participation (STP) application helps supervisors track ctcLink Canvas course training progress for staff and assign ctcLink Canvas courses for staff enrollment. Learn more about the Staff Training Participation Application
- Onboarding Training Manuals assist new college staff in their training journey through ctcLink (PeopleSoft). Learn more about the ctcLink Onboarding Training Manuals
About the Onboarding Training Manuals
Onboarding Training Manuals can be found in the ctcLink Reference Center “Welcome to ctcLink – Start Here” section. Manuals are available for users in all PeopleSoft pillars, as well as for general staff:
- General Staff Onboarding Training Manual
- Campus Solutions Core Onboarding Training Manual
- Finance Onboarding Training Manual
- Financial Aid Onboarding Training Manual
- Human Capital Management Onboarding Training Manual
- Student Financials Onboarding Training Manual
Each manual is divided into sections highlighting specific topics and information necessary to become more comfortable with our ctcLink system. Section topics may include:
- Onboarding checklist
- Welcome to ctcLink Training
- Each pillar’s place in ctcLink
- Prerequisite ctcLink courses
- Role-based training content and requirements (i.e., required and recommended ctcLink self-paced training courses)
- Additional onboarding resources
How to use the onboarding manuals
The intent is for supervisors to work with staff to provide clarity around staff roles and functions of their job based on the onboarding manual.
- Each ctcLink module lists required and recommended self-paced ctcLink Canvas training courses which directly align to roles and functions performed at the colleges. For example, each staff member is required to complete general prerequisite courses to introduce them to the ctcLink system.
- The checklist included allows supervisors to identify which required and recommended courses should be completed by each staff member. Additional training resources are provided to assist new staff in their onboarding activities.
The ctcLink Training and Support teams look forward to partnering with the colleges and SBCTC agency staff to provide enhanced onboarding and training experiences for new and current employees.
Please reach out to ctcLink Training Management if you have questions or concerns.
Get Connected: Join ctcLink Support eLists
ctcLink Customer Support sends updates, outage notices, changes to configuration, training and workshop opportunities, global and cross-pillar communications to colleges via Mailman eLists (often referred to as listservs, which is a registered trademark).
College subject matter experts (SMEs), PeopleSoft users/stakeholders can use the lists to ask their college peers questions about how they do things in ctcLink, best practices, local training plans, and more.
When you join, do NOT select the Digest option or you might miss out on time-sensitive messages.
Find your lists
- ctcLink Support eLists – Lists geared toward ctcLink end-users, including reporting, queries, and dataLink.
- In addition, each ctcLink pillar area suggests related lists to join under their “Get Connected to” menus.
- Mailman eLists – See the complete list of Mailman lists available to the community and technical colleges.
Are You Receiving ctcLinkAlerts?
SBCTC uses the ctcLinkAlerts eList to send notices about planned downtime for system updates, production alerts, urgent issues, and any unplanned downtime.
Each college maintains a local ctcLinkAlerts email distribution list (e.g., ctclinkalerts@columbiabasin.edu, ctcLinkAlerts@spscc.edu) which your ctcLink College Leader maintains as needed.
These college lists, not individuals, are subscribed to ctcLinkAlerts@lists.ctc.edu.
Each college chooses who to include, but typically colleges include their local ctcLink leadership, local ctcLink committee or task force members, key subject matter experts, IT, Help Desk, and PIO.

Release Date for HCM Masking - Here's What To Do and When
A decision was made to postpone the release of masking of Personally Identifiable Information in the HCM pillar to Thursday, Nov. 5. The delay was determined to be in the best interest of the HR/Payroll community, so that these masking changes did not appear suddenly on the November 4 Payroll Cutoff day.
This will result in masking and page access changes for Garnishment Data and National ID Search being visible in ctcLink Production (live environment) on Friday, Nov. 6, 2026.
Local Security Administrators (LSAs) and impacted individuals in the HR/Payroll Community were officially notified yesterday.
What does this mean for the LSA community?
- Between now and Friday, it is recommended to run the following query to determine who will be impacted by these changes: QHC_SEC_USER_ROLES_BY_UNIT
- If run for your company and business unit for each of the impacted security roles you can build a list of employees who will experience a change on Friday morning.
- Between now and Friday, work with your HR/Payroll Office to determine who should have unmasked access to the specific fields or content they need to be able to see to perform their duties.
- Be prepared to apply the appropriate unmasking or unlocking security roles Friday
morning so their access is not disrupted.
- If a user does not require unmasked access, no action is needed.
The following Quick Reference Guides have been revised and moved to the PeopleSoft Security - HCM Security section in the ctcLink Reference Center:
- Masking of PII Data on HCM Pages
- Unlocking Access to Garnishment Data
- Unlocking Access to National ID Search Pages
